As Client Solutions & Project Manager, you will play a critical leadership role across the business, guiding client-facing teams, strengthening our operational systems, and helping drive growth by building lasting client relationships. You will lead the charge in expanding our client base, optimizing project delivery, and ensuring seamless communication from the first client conversation to project completion and beyond.

Key Responsibilities 

Leadership & Team Management 

  • Lead and manage a high-performing team of sales and project management professionals. 

  • Assign projects, balance workloads, and monitor performance to ensure standards are met. 

  • Fostering a culture of collaboration, accountability, and growth. 

  • Align cross-departmental goals to ensure seamless communication between sales, design, production, and installation. 

  • Participate in regular team meetings to review pipelines, workload, and priorities. 

Client Success & Relationship Management 

  • Serve as a primary contact for high-value clients, providing strategic guidance and oversight throughout the project lifecycle. 

  • Foster long-term relationships by delivering exceptional service, thoughtful communication, and follow-up. 

  • Conduct discovery calls and meetings to understand client goals and craft solutions that align with their vision. 

  • Proactively engage with new leads identify future opportunities, drive repeat business, and increase referrals. 

  • Active, monthly tracked outbound outreach to past and current clients to generate new revenue opportunities, support pipeline growth, and drive repeat and referral business.

Sales Strategy & Business Development 

  • Develop and execute growth strategies to increase revenue across core service lines, including custom displays, exhibit rentals, storage, and event services. 

  • Convert qualified top-of-funnel leads into active opportunities by leading discovery, solution alignment, proposal development, and close, supporting and extending the efforts of the lead generation efforts

  • Identify and secure new business opportunities through market research, networking, and lead nurturing. 

  • Stay informed on trade show, event, and industry trends to guide sales efforts and position our offerings competitively. 

  • Collaborate on proposals, presentations, and sales materials that communicate our value clearly and compellingly. 

Project Oversight & Execution 

  • Oversee job bidding, quoting, and proposal development to ensure accuracy, alignment with client needs, and profitability. 

  • Coordinate intake, scheduling, and cross-functional collaboration to keep projects on track and on budget.

  • Support internal teams in resolving client challenges, aligning expectations, and delivering with excellence.

  • Ensure projects are closed out in systems with costs captured, evaluations completed, and lessons learned. 

Financial Oversight: Invoicing & Payments 

  • Generate and manage client invoicing in collaboration with the accounting team, ensuring invoices accurately reflect approved scope, project milestones, and contractual terms.

  • Ensure correct attribution of tax, freight, storage, labor classifications, and payment terms at the estimate and invoice level to support accuracy, compliance, and profitability.

  • Review estimates, change orders, and final invoices for alignment with agreed-upon pricing, tax treatment, and client terms prior to issuance.

  • Track outstanding payments and follow up professionally with clients to ensure timely collections and maintain strong client relationships.

  • Maintain accurate project, invoice, and payment records in all relevant systems to support healthy cash flow and reliable financial reporting.

  • Perform monthly QuickBooks cleanup and reconciliation in partnership with accounting, ensuring completed jobs are properly closed, costs are fully captured, and records are accurate to support month-end reporting, forecasting, and decision-making.

  • Proactively flag discrepancies, open items, or process gaps that could impact invoicing accuracy, cash flow, or financial visibility.

Vendor & Purchasing Coordination 

  • Source and manage vendor relationships for materials, parts, or services as needed. 

  • Process purchase orders, track deliveries, and ensure receipts are submitted accurately to accounting, as needed

Qualifications 

  • Bachelor's degree in Business, Marketing, Project Management, or a related field (or equivalent experience). 

  • 5+ years of experience in a similar role at the Manager or Sr. Manager level, ideally within the trade show, event production, marketing agency, or display industry.

  • Proven track record in client relationship management, business development, and project delivery. 

  • Strong leadership and people management skills. 

  • Experience with CRM systems, job costing, invoicing, and project management tools. 

  • Strong communication, analytical thinking, and problem-solving abilities.

  • Entrepreneurial mindset with a passion for team growth, client success, and operational excellence.
